InspectPro collects the following categories of information to operate the system:

  • Account Information: Full name, email address, phone number, role, and profile photo
  • Inspection Data: Facility records, checklist responses, findings, photos, violation records, and digital signatures
  • Location Data: GPS coordinates captured during field inspections for verification purposes
  • Usage Data: Login timestamps, actions performed, and audit logs for compliance and security
  • Documents: Uploaded files including licenses, commercial registrations, and inspection evidence
2 · How We Use Your Information

Information collected by InspectPro is used exclusively for:

  • Operating the inspection management system and fulfilling regulatory requirements
  • Authenticating users and enforcing role-based access controls
  • Generating inspection reports, compliance records, and regulatory submissions
  • Sending notifications about task assignments, deadlines, and approvals
  • Maintaining audit trails for accountability and legal compliance
  • Improving system performance and user experience

We do not sell, rent, or share your personal data with third parties for marketing purposes.

3 · Data Storage & Security

All data is stored on secure servers with access restricted to authorized personnel only. We implement the following security measures:

Inspection records and regulatory data are retained for the period required by applicable laws and regulations, typically a minimum of 5 years.

User account data is retained for the duration of employment or engagement with the organization, and for a reasonable period thereafter for audit purposes.

Uploaded documents and evidence files are retained in accordance with your organization's document retention policy.

5 · Location Data

InspectPro captures GPS location data from inspectors' devices during active inspections. This data is used solely to:

  • Verify that inspections are conducted at the correct facility location
  • Enforce geofencing requirements where configured by your organization
  • Record the precise location of inspection activities for regulatory records

Location data is not collected outside of active inspection sessions and is not used for continuous employee tracking.

6 · Your Rights

Subject to applicable laws and your organization's policies, you may have the right to:

  • Access and review personal data held about you in the system
  • Request correction of inaccurate personal information
  • Request deletion of your account data upon termination of employment
  • Object to processing of your personal data in certain circumstances

7 · Cookies

InspectPro uses session cookies for authentication and language preferences. These are essential for system operation and do not track users across external websites.
